This role will require someone who is financially focused and highly organised to assist our program manager with managing the book of work in our Transfer Agency department. There are regular report to be run from our Jira workslate.

The successful candidate will also be responsible for maintaining a payment tracker to manage purchase orders, invoices, work orders etc .

There is also a site support role which would account for approx 30% of the time

The role does involve some administrative duties.

Key Responsibilities:

Book of work

-Manage the Global Transfer Agency book of work using Jira

-Produce weekly reports & update regular trackers with current status of our book of work

-Be responsible for managing time booking for the team

-Be responsible for managing payment status, purchase order etc for our many vendors

-Ensure all staff contract renewals are submitted on a timely basis.

-Be responsible for submitting all funding requests through our workflow.

Dublin Site Support

-Be responsible for desk management, space and headcount for the group ( approx. 150 – 200 people )

-Collate and produce weekly reports of current & projected staff numbers

-Assist with room bookings for town halls & any other major workshops taking place

-Be the central point of contact for new starters

-Assist with any power point decks that need to be created

-Order stationery

-Attend Meetings, take and distribute minutes as required


-Highly organised and efficient person

-Analytical skills essential, high degree of proficiency in MS Excel required and an ability to interpret and report data.

  • Very comfortable with Excel, PowerPoint and Word

-Financially focused

-Must be self-motivated, pro-active and independent .

-Excellent interpersonal and communication skills
